We are currently recruiting for an Executive Personal Assistant. This is a full time, permanent position.

The Executive Personal Assistant is a proactive and energetic individual who is responsible for providing excellent support to a very busy Chief Executive Officer (CEO) who is also the Owner of the Company. This individual will be a self-starter who can work well with a team of professionals and keep the CEO's life organized and well balanced. Duties include but are not limited to arranging travel plans, meeting minute-taking and distribution, scheduling appointments and drafting both internal and external correspondence. The Executive Personal Assistant is also required to maintain confidentiality and professionally interact with employees, management and the public.

Qualifications

Primary Responsibilities

General Support:

  • Maintain all sensitive information with the highest level of confidentiality
  • Keep the CEO informed of all things requiring his attention
  • Keep the Executive Office presentable at all times
  • Prepare travel schedules and book travel arrangements
  • Receive and screen all inbound telephone calls, e-mails, and visitors for the executive office and refer and/or redirect calls, e-mails, or visitors as required
  • Troubleshoot and/or escalate office administration issues
  • Complete expense reports, pay invoices, and other related duties.
  • Present a positive and professional image of the executive office to all visitors, suppliers, inquiries, and other persons
  • Personal Assistant responsibilities as needed

Admin Support:

  • Scheduling and calendar management of a busy schedule, including: multiple time zones; in-person and phone meetings and actively resolving scheduling conflicts
  • Manage phone, email and in-person communication with internal and external stake holders with a high level of professionalism
  • Report preparation requiring compilation from key (executive) team members, complex formatting and tight deadlines for meetings such as: board meetings and executive meetings
  • Meeting support including preparation of meeting materials, recording and distributing of minutes, preparing agenda packages, arranging dates/times/location, pre-meeting participant contact and follow up as needed
  • Coordinate arrangements for onsite and offsite meetings and/or events including invitations, facilities, catering and other preparations as required
  • Proactive handling of issues and minor problems; knowing when to bring the CEO into the conversation
  • Provide (proactive) direct administrative and office management support to the CEO
  • Review all documents, reports, and correspondence prepared for executive signatures for format, content, grammar, spelling and make edits as necessary.
  • Prepare draft reports, background documentation, and research
  • Prepare and review presentations
  • Other duties as may be required

Qualities & Qualifications:

  • Post-Secondary Diploma/Degree in Business Administration, or relevant discipline, required.
  • Strong service orientation
  • Must be a quick thinker and problem solver; ability to work in a fast paced environment
  • A minimum of 5 years' experience as a highly organized senior Executive Personal Assistant
  • Excellent communication skills (written and verbal); able to represent the office of the CEO in a professional and reputable manner
  • Flexible, warm personality and a positive "can do" attitude
  • Superior organizational skills with the ability to consistently be proactive
  • Strong knowledge of office procedures and practices
  • Keen attention to details
  • Senior level skillset with Microsoft Office Suite (Outlook, Word, Excel, Power Point)
  • Resourceful and flexible
  • Proven organizational and time management skills

We are currently hiring talented and motivated Sales Associates and will be granting the opportunity to the strongest candidate we interview.  This position is a launching point to a rewarding career in new home sales and will be accompanied by a personal development plan to become an Area Sales Manager in Calgary or Area. This is a rewarding position earning commissions of over $150,000.00 annually (based on historic compensation).

Qualifications

Primary Responsibilities

  • Work in partnership with the Area Sales Manager to achieve sales goals and business objectives;
  • Provide consistent support to manage customer expectations and foster the customer relationship through the purchase experience and building process;
  • Organize and complete all necessary paperwork and ensure the accuracy and maintenance of customer files;
  • Maintain the highest level of professionalism and quality within sales centre and the presentation of signage and marketing materials;
  • Respond quickly to customer concerns and the coordination of information or solutions to apparent challenges;
  • Acquire customer registrations and manage lead records within a database.

Qualities & Qualifications

  • 3+ years of relevant sales experience (preferably in new home sales) with a strong desire for a career in new home sales;
  • Completion of a four year university degree is preferred;
  • Ambitious and driven;
  • A polished professional;
  • An interest to complete work with precision and excellence;
  • Proven ability to prioritize multiple tasks and complete them on time and with accuracy;
  • Ownership thinking and a sense of urgency;
  • Keen attention to detail and strong organization skills while working with official documents and correspondence;
  • Strong computer skills and experience working with applications including MS Outlook, Word, Excel and the internet;
  • Passion for learning and a willingness to complete the provided training and utilize available development tools;
  • A strong moral charter and a team oriented perspective;
  • Available to work a demanding schedule, including evenings and weekends.
